Cutvey is operated by Cutvey LLC, a Florida limited liability company based in Orlando, Florida. This policy explains what we collect, why, and the choices you have. It covers the cutvey.com website, the app at app.cutvey.com (including workspace custom domains), and our emails.
Two roles. For the account data of people who sign up (studio owners, team members) and for website visitors, we act as the data controller. For the information a studio brings into its workspace about its own clients, crew, leads, and talent, the studio is the controller and we process that data on the studio's behalf, under its instructions and the studio's own privacy obligations. If you are a client or crew member of a studio that uses Cutvey, that studio is your first point of contact for privacy questions about your data.
Account information: name, email address, company name, role, optional photo and phone number. Sign-in is passwordless; we store one-time sign-in codes only in hashed form, briefly.
Workspace content: whatever a workspace puts into Cutvey: leads and contacts, proposals, projects, crew records, call sheets, video files and comments, invoices, documents, and messages.
Payment information: subscription payments are processed by Stripe. We store your Stripe customer and subscription identifiers, plan, and billing status. We never see or store full card numbers. Client invoice payments run through the studio's own Stripe account.
E-signature records: when documents are signed through Cutvey we record the signer's name, signature image, timestamp, and IP address as a legal audit trail.
Usage and technical data: logs (IP address, browser type, pages and actions, timestamps) used for security, rate limiting, and debugging; email delivery events including opens and link clicks on emails sent through the platform; AI feature usage counts for allowance metering.
Website forms and chat: what you submit through our contact and support forms or the website chat, protected by Cloudflare Turnstile to filter bots.
To provide and operate the Service; to authenticate sign-ins and secure accounts; to process subscription billing; to send transactional email (sign-in codes, invoices, call sheets, notifications) and track its delivery; to power AI features you invoke; to answer support requests; to monitor for abuse, fraud, and attacks; to understand aggregate product usage and improve Cutvey; and to comply with law. We do not sell personal information, and we do not use your workspace content for advertising.
When you use an AI feature, the relevant text or data from your workspace is sent to our AI provider (Anthropic) to generate the response. Per Anthropic's API terms, API inputs and outputs are not used to train their models. AI usage is metered per workspace for plan allowances. You control what you ask; do not paste information into AI features that you are not permitted to process.
We share data with a short list of providers who help us run Cutvey, each bound to use it only to provide their service to us: DigitalOcean (hosting, United States), Cloudflare (encrypted backups and website bot protection), Stripe (payments), Resend (transactional email), and Anthropic (AI features). Weather shown on call sheets is fetched from Open-Meteo using location coordinates only. We may update this list as the product evolves; material changes will be reflected here.
We disclose information if required by law, subpoena, or court order (with notice to you where lawful); to protect the rights, safety, or security of Cutvey, our users, or the public; in connection with a merger, acquisition, or sale of assets (your data remains protected under this policy and you will be notified); or with your direction, such as when you share a review link or send a proposal. Within a workspace, content is visible to members according to the roles the workspace assigns.
The app uses strictly necessary cookies for sign-in sessions. The website uses no advertising trackers and no third-party analytics cookies. Emails sent through the platform include an open-tracking pixel and wrapped links so studios can see engagement on what they send; this is a core product feature. We do not respond to browser Do Not Track signals because we do not track you across other sites.
Workspace data is retained while a subscription is active. After cancellation or trial expiration, data is retained for approximately 60 days (so you can reactivate or export), then deleted in the ordinary course. You can delete your workspace at any time from Settings; deletion is confirmed by email code, has a 7-day cooling-off window, and then permanently erases workspace data. Encrypted backups age out on a rolling schedule after deletion. E-signature audit records may be retained longer where the law requires. You can export everything, any time, before any of this.
Data is encrypted in transit (TLS) and backed up encrypted. Access to production systems is restricted to authorized personnel. Sign-in codes are stored hashed, sessions are signed and revocable, and every significant action in a workspace is written to an audit log. No system is perfectly secure; if we learn of a breach affecting your personal information we will notify you and the relevant authorities as required by law, including Florida's Information Protection Act (Fla. Stat. § 501.171).
You can access, correct, export, and delete your account and workspace data directly in the product, which is faster than emailing us, but you can also email contact@cutvey.com and we will help. Depending on where you live, you may have statutory rights to access, correct, delete, or port personal data and to object to certain processing; we honor reasonable requests from anyone regardless of jurisdiction. If you are in the EEA or UK, our legal bases are contract performance, legitimate interests (security and product improvement), and consent where required, and you may lodge a complaint with your supervisory authority. If you are a client of a studio using Cutvey, direct requests about the studio's records to the studio; we will assist them.
Cutvey is operated from and hosted in the United States. By using the Service you understand your information is processed in the United States, which may have different data protection laws than your country.
Cutvey is a business tool for adults. It is not directed to children under 13, and we do not knowingly collect personal information from them. Release forms for minors handled by studios name a parent or guardian as the signer; the studio is responsible for the lawful collection of that information.
We will post changes here and update the effective date. For material changes we will notify account owners by email or in the product before the changes take effect.
